What is Psychology Practice Management Software?

Psychology Practice Management Software enables a more streamlined and precise workflow. Although many psychologists are great at the client-facing side, practice management isn't their favorite part of the day, resulting in inefficient practices that encumber clients and psychologists alike. If scheduling systems falter, you get double bookings, incorrect bookings, and forgotten bookings — all leading to a drop in client satisfaction.

Whilst many practices don't have enough resources to justify the expense of hiring someone specifically to do the admin side of the practice manager. Thus, psychologists often spend a considerable part of their workday juggling administration with appointments. Psychology Practice Management Software is an all-in-one solution to this issue.

How much does Psychology Practice Management Software cost?

Psychology Practice Management Software varies hugely in price, and despite the commonly used phrase "you get what you pay for," this isn't always true in the realm of practice management software. We'd have to argue that some of the more cost-effective software packages are fresh off the press and building an ever-growing following of loyal users.

The best way to ensure you're getting the software that meets your needs specifically is to read the reviews, read the articles (like this one!), and make sure you utilize the free versions to get a feel of what you'll be paying for!

Carepatron pricing

Carepatron has a robust free forever plan for unlimited users and unlimited features. Those who want to pay can progress to a paid plan for $15 per user/month (only $12 per month if you commit to an annual plan!). We'll let you read all of the prices for all the other software platforms that follow, but here's a spoiler: this is the lowest price out of all of them.

2. TheraNest

TheraNest is web-based software for Mental Health practitioners. TheraNest also has that all-important HIPAA-compliant sticker which is a must-have for any healthcare management system.

TheraNest key features

  1. Integrated telehealth platform: TheraNest provides an integrated telehealth platform for virtual sessions, enhancing accessibility and convenience for both practitioners and clients.
  2. Customizable documentation: The software offers customizable documentation templates for progress notes, intake forms, treatment plans, and more, allowing practitioners to tailor their documentation to meet individual client needs.
  3. Client portal: TheraNest includes a client portal that facilitates secure communication, appointment scheduling, and document sharing between practitioners and clients.
  4. Billing and payment processing: TheraNest offers features for electronic insurance claims, client payment tracking, and integrated credit card processing, simplifying billing and payment management for practices.

While TheraNest claims to have the ability to schedule recurring appointments, there are many issues around specific start times and the ability to customize appointment lengths or the number of follow-up sessions that will be required.

ThereNest pricing

TheraNest's pricing plan is based on the number of clients on your caseload:

  • $39 monthly for 30 clients and under
  • $50 monthly for 40 clients and under
  • $60 monthly for 50 clients and under
  • $91 monthly for 80 clients and under
  • For practices with more than 80 clients, you'll have to get a quote from their team.

In addition to this, TheraNest's additional features come at an added cost:

  • HIPAA compliant messaging & self scheduling on client portal is $6/mo per therapist
  • E-prescription is $65 per month per clinician
  • Wiley Planners for $25 per month for each practitioner
  • Client portal for $6 per month for each practitioner
  • 1 on 1 telehealth sessions $12 per month for each practitioner, and group sessions at $25 per month per therapist
  • Electronic claims: $0.17-0.23 each
  • Text reminders are $0.10 per text, and voice reminders are $0.10 per call
  • Eligibility checks (for Apex customers only) at $0.25 per check

3. TherapyNotes

TherapyNotes is designed for behavioral health and medical practices and offers a range of standard features like a sign-on client portal, appointment scheduling, and client record management.

TherapyNotes key features

  1. User-friendly interface: TherapyNotes is praised for its easy-to-use and intuitive interface, making it simple for clinicians to navigate and access various functions
  2. Comprehensive documentation management: The software offers a range of features for note-taking, including progress notes, intake forms, treatment plans, and discharge summaries.
  3. Telehealth integration: TherapyNotes includes a HIPAA-compliant telehealth video platform for members who sign up for the client portal and enables screen sharing during sessions.
  4. Billing and payment processing: TherapyNotes provides electronic insurance claims, client payment tracking, electronic remittance advice, and integrated credit card processing.

However, TherapyNotes has several drawbacks that make healthcare providers concerned about the software's ease of use. It does not autosave your essential documents, so unlike software like Carepatron, you'll risk losing your work. Payment processing with TherapyNotes is expensive and complex, which isn't what any private practice is after.

TherapyNotes pricing

  • Solo: $49 per month for one user
  • Group: $59 per month for the first clinician, +$30 per month per additional clinician
  • Enterprise: The same as Group, but comes with a designated account manager. Exclusively for 30+ users.

TherapyNotes also has optional features, but they come at a cost:

  • Billing: $0.14 per electronic billing claim, $0.14 per claim in an ERA, $0.14 per eligibility request
  • Reminders: $0.14 per text or call reminder
  • Payment processing: 2.9% plus 30¢ per transaction
  • E-prescription: $65 per month per prescriber
  • MIPS reporting: $359 per year per clinician
  • Full medical billing service: Pricing varies

TherapyNotes is pretty pricey, but that price tag reflects the softwares' capabilities. Good thing they offer a free 30-day trial.

4. SimplePractice

SimplePractice is an online practice management software that is designed specifically for behavioral health clinicians. It offers note templates and insurance claim filing capabilities, as well as online booking and appointment reminders. Recently, SimplePractice acquired Luminello, and all Luminello users will be migrated over to SimplePractice.

SimplePractice key features

  1. Intuitive client portal: SimplePractice provides a user-friendly client portal for seamless communication, appointment scheduling, and secure document sharing between clinicians and clients.
  2. Efficient appointment scheduling: The software includes robust appointment scheduling tools that allow clinicians to manage their calendars, set availability, and send automated appointment reminders to clients.
  3. Customizable documentation templates: SimplePractice offers customizable templates for progress notes, intake forms, treatment plans, and other documentation, enabling clinicians to tailor their notes to individual client needs.
  4. Telehealth integration: SimplePractice integrates a secure telehealth platform that is HIPAA-compliant, facilitating virtual sessions with clients and supporting screen sharing for interactive sessions.

However, some users have expressed concern about the software lacking advanced reporting features compared to platforms like TheraNest, which may limit data analysis capabilities. Additionally, some users find the pricing structure of SimplePractice to be on the higher side, especially for practices with multiple clinicians. Lastly, most mental health care practitioners' reviews of SimplePractice state that the patient portal and mobile app can sometimes be confusing to navigate.

SimplePractice pricing

For solo practitioners, here are the prices you want to take note of:

  • Starter: Starts at $29 per month for one clinician
  • Essential: Starts at $69 per month, with an additional $15 per month for a Wiley Treatment Planner and $0.25 per insurance claim (with 10 free claims per month)
  • Plus: Starts at $99 per month, comes with a free Wiley Treatment Planner and an additional $0.25 per insurance claim (with 35 free claims per month). It also costs an additional $39 per month per additional practice manager, and $59 per month per added clinician.

Group practices have only one plan: Plus. It costs $158 per month, with an additional $0.25 per insurance claim with 35 free claims per month. Just like the Solo Plus plan, you have to pay additional $39 per month per additional practice manager, and $59 per month per added clinician.

Despite some drawbacks, SimplePractice's pricing reflects its feature-rich platform, and the software offers a free 30-day trial for users to explore its capabilities.

5. Mend

Mend is an online healthcare communication software that lets clients and practitioners connect and share files, messages, assessments, photos, and data.

Mend key features

  1. Seamless communication: Mend provides a secure communication solution that enables patients and providers to connect easily. It allows for file sharing, messaging, assessments, photos, and data sharing in a HIPAA-compliant environment.
  2. Cloud-based platform: Mend is a cloud-based software that offers flexibility and accessibility for both patients and providers, allowing for convenient and efficient virtual healthcare interactions.
  3. Customizable messaging: The platform offers customizable messaging options, ensuring that providers can tailor their communication to meet the specific needs of each patient.
  4. Patient engagement tools: Mend includes features to enhance patient engagement, such as automated appointment reminders, surveys, and reputation management tools, facilitating better patient-provider interactions.

Mend is relatively limited in its capabilities according to some reviews. There are a concerning number of customer reviews from practitioners claiming to experience waiting several weeks for a response from the Mend customer support team. Users have also noted that the software may lack certain advanced features compared to other telehealth platforms.

Mend pricing

  • Mend One: This is still unreleased, but they project that it will cost $49.99 for all of Mend's most popular features for solo practitioners.
  • MendEnterprise: Varies depending on the practice's needs. You need to contact the Mend team for a quote.

Unfortunately, Mend only offers a demo, but not a free trial.
