Customer stories Caleb Potter

Most teams dread switching to a new EMR. Carepatron makes it easy.

Caleb Potter runs Deep Waters Biblical Counseling, a grief-focused practice in the United States. The EMR his team had been using made the simple things harder than they should be. Billing statements. Walking new counselors through troubleshooting. The basic shape of a working day. Onboarding was the worst of it, especially for team members who weren’t comfortable with technology to begin with. After switching to Carepatron, that changed. Counselors picked up the system quickly and started using it without needing his help. Eight months in, he hasn’t had a single support question from his team.

Meet Caleb Potter

Caleb Potter is a certified thanatologist who leads Deep Waters Biblical Counseling, a faith-based grief counseling practice in the United States. He works with a small but growing team of counselors who walk people through some of life’s hardest moments. Several of his counselors weren’t excited about learning a new digital system. Some had only recently gotten comfortable on the previous EMR. When the cost-and-features math made it clear Carepatron was the right move, Caleb knew the announcement wouldn’t be welcomed. The work of grief counseling is hard enough; he didn’t want the tools getting in the way of it.

The first change was the welcome.

Before Carepatron, the previous platform made basic tasks harder than they needed to be. Producing billing statements meant working around the system. Troubleshooting questions from his team meant Caleb walking each counselor through the same fix more than once. The friction wasn’t enormous, but in a small practice with people learning a new role, it added up. “Navigating the previous platform was not as intuitive and thus made it more difficult to produce billing statements or walk new counselors through troubleshooting problems.” The Carepatron demo changed the team’s mood completely. Counselors who’d been bracing for another struggle walked away ready to use it. The ones who’d resisted the change most were the first to come around. “Several of my counselors are older and less excited to learn new technology. I knew they were not going to be thrilled when I announced we were making the switch to Carepatron, since they had only recently gotten accustomed to navigating the previous platform. But after I did a demo with them and showed them how streamlined and intuitive Carepatron was, they were excited about the switch.” For Caleb, that shift in posture happened before anyone had logged a session.

The bigger change was the confidence.

One moment in particular stuck with Caleb. He onboarded a counselor who hadn’t used digital charting before. After a short walk-through and a few rounds of doing it himself, something clicked. “He looked like a 16-year-old who had just discovered he could, in fact, drive a vehicle. He had such a look of freedom and empowerment. He realized that technology was not beyond him.” That moment has been the pattern, not the exception. Across Caleb’s team, charting, scheduling, and the day-to-day system use have become routine. Eight months in, he hasn’t had a single email, text, or call from any of his counselors asking how to do something on Carepatron. “Carepatron has, without a doubt, made it easier to grow my practice, especially as it relates to onboarding new counselors. The ease of use eliminates the often intimidating technological barrier and flattens out the learning curve of charting sessions.” For a practice growing through people, not through features, that confidence is what makes growth possible.
