Rooms and equipment that book themselves
Overview
Until now, Carepatron scheduled people. From today, it schedules the rooms, chairs, and equipment around them too. Resource management lets your practice set up the physical things you book alongside a practitioner’s time, attach them to the services that need them, and let every appointment reserve what it needs on its own.
It is on for every workspace from today, and it stays out of the way until you use it. Add nothing, and your scheduling works exactly as it did yesterday. Add your first room, and every booking starts respecting it.
Set up once, reserved every time
Head to Settings, then Scheduling, then Resources, and add what your practice books: treatment rooms, chairs, dental units, portable equipment. Then attach them to services, and Carepatron handles the rest.
- Resources and groups. Give each resource a name and a location, or gather interchangeable ones into a group like “any treatment room”. A group books whichever member is free, so you keep every slot instead of losing the ones where a named room is busy.
- Service requirements. Attach a resource or group to a service once, and every appointment for that service reserves it automatically. Nothing to remember per booking.
- Location aware. A resource only serves appointments at its own clinic, so a room in one location is never reserved for an appointment at another.
Resource management is on in every workspace today, with nothing to switch on. Until you add your first resource, nothing changes about your scheduling.
Online booking that knows your rooms
Online booking now calculates availability from the practitioner’s schedule and the required resources together. If a service needs a treatment room and every room is taken at 2pm, clients simply never see 2pm. The double bookings that used to surface when two clients arrived for the same room now stop before they can happen.
Carepatron re-checks the resource at the moment a client books, and guides them back to pick another time if it was taken in the meantime. Where a group is required, whichever member is free at that time is reserved automatically.
Your day, room by room
- A resource picker on every appointment. Add resources to any single appointment ad hoc, independently of what the service requires, or swap to a specific member of a group.
- Warned, never blocked. A resource already reserved elsewhere shows a warning and a Busy chip, but stays selectable. You make the judgement call the situation needs.
- A calendar that lays out the rooms. A resource badge on each appointment, a Resources filter, and a Group by resource view with one column per room, so the front desk can see the whole day’s utilisation on one screen.
- Programs included. A standard program holds the same resources across every session, while a custom program lets each session pick its own. A six week program can keep one room throughout, or change rooms each week.
Getting started
- Go to Settings, then Scheduling, then Resources, and add each room, chair, or piece of equipment with its location.
- Group interchangeable resources, so a service can ask for any treatment room rather than one in particular.
- Open a service under Settings, then Services, and add what it needs under Resource requirements.
- From then on, every appointment and every online booking of that service reserves a resource on its own.
Managing resources, groups, and requirements needs workspace admin access. Deactivating a resource stops new bookings from choosing it while leaving existing appointments untouched.
